Cancellation Policy

We understand that plans can change. This Cancellation Policy explains how to cancel or reschedule a KIZUNA Japanese lesson and when charges may apply. By booking a lesson with us, you agree to this policy.
The 24-hour rule: You can cancel or reschedule a lesson free of charge when you give us at least 24 hours’ notice before the lesson start time.
1. How to cancel or reschedule
To cancel or reschedule, please let us know as early as possible through the scheduling tool or by email at kizuna.jpn.academy@gmail.com. The notice period is calculated from the scheduled start time of your lesson in the relevant time zone.
2. Cancellations with 24 hours’ notice or more
If you cancel or reschedule with at least 24 hours’ notice, there is no charge. For monthly plan students, the lesson can be rescheduled to another available slot; for single lessons, you may move your booking to a new time.
3. Late cancellations (less than 24 hours)
If you cancel or reschedule with less than 24 hours’ notice, the lesson may be counted as used and is generally non-refundable. This is because your teacher has reserved and prepared time and materials specifically for you.
4. No-shows
If you do not join a scheduled lesson and do not let us know in advance, the lesson will be treated as used and is non-refundable. If you are running late, please contact us — your teacher will usually wait, but the lesson will still end at its scheduled time.
5. Cancellations by KIZUNA
In the rare event that we need to cancel a lesson (for example, due to teacher illness or a technical problem on our side), we will let you know as soon as possible and offer to reschedule the lesson at a time that suits you, at no additional cost.
6. Monthly plans and unused lessons
Monthly plan lessons are intended to be used within the applicable month. Lessons cancelled with proper notice can usually be rescheduled within that period. Unless agreed otherwise, unused lessons do not automatically carry over to the next month. If you have special circumstances, please talk to your teacher — we’ll do our best to be flexible.
7. Free trial lessons
Free trial lessons can also be cancelled or rescheduled with 24 hours’ notice. As trial lessons are free, no charge applies, but we kindly ask that you give us notice so we can offer the slot to another student.
8. Refunds
Refunds, where applicable, are handled on a case-by-case basis in line with this policy and applicable consumer-protection law. Please contact us if you believe a refund is due, and we will review your request fairly.
9. Exceptional circumstances
We understand that emergencies happen. If you need to cancel at short notice due to illness or an unexpected situation, please contact us — we will always try to find a fair solution.
